Entity management built for modern law firms

Jun 17, 2025

Entity management is foundational to corporate legal work. It touches every client, every cap table, every document, every filing. Yet most of the software that supports it is outdated, designed for a world before modern workflows, client expectations, or secure collaboration.

Law firms have adapted. Their systems haven’t. That’s what we set out to fix.

Walter’s new entity management system replaces legacy software with a structured, connected, and fully modern experience built for how law firms actually work.

What’s wrong with most entity management tools?

The problems are easy to spot.

  • The UI is clunky and hard to navigate

  • Officer and shareholder info is scattered or duplicated

  • You’re re-entering data into separate systems for filings, documents, and cap tables

  • Clients can’t access what they need, or you have to send it manually

  • There’s no connection between the entity record and the actual work being done

These tools operate more like static databases than dynamic workflows. They hold information but don’t help move it forward. That means your team spends more time reconciling, reformatting, and chasing details than they do practicing law.

And for firms offering flat-fee or subscription services, that inefficiency cuts directly into margin.

Walter’s entity management system is different

Walter treats entity management as a core layer in the legal workflow. It connects directly with your document templates, cap tables, stakeholder profiles, task management, and client collaboration, all in one workspace.

Here’s what that looks like in practice.

Everything in one place

Clients, entities, officers, filings, ownership structures, and compliance tracking all live in a single system. There’s no need to maintain parallel records or jump between tools. Entity management now lives right alongside your equity and document workflows.

The profile shows details like responsible office, file number, file status, jurisdiction, legal status, and formation date. A pinned note indicates the client is in the middle of fundraising. Below, the "Relationships" section lists directors and officers, including their titles and start dates.
Profiles that link across clients

Walter introduces structured profiles for every individual and entity. This means you can see all the places someone appears in your workspace—across cap tables, officer roles, and more. No duplication. No blind spots.

The "Holdings" section lists securities such as shares, option grants, and a SAFE across different clients. The "Relationships" section lists roles including Director, Founder, and Investor for various entities.
Structured filings and registrations

Filings and compliance events are now structured objects, not loose documents. You can assign deadlines, track statuses, and filter across your workspace to see what’s due and what’s complete. Annual compliance becomes visible and manageable at scale.

Four registrations are listed: Formation, Tax, Extra-provincial, and Other, with various statuses such as Confirmed, Pending, and Inactive, along with their jurisdictions and IDs.
Document automation, directly connected

You can generate entity-related documents using templates managed in Word, then send them for signature through Walter’s DocuSign integration. Fields populate automatically based on your existing records, with no manual entry or copy-pasting.

On the left, there are input fields such as "Client" (Nebula Solutions Inc.), "Fiscal Year End" (December 31), and "Incorporator". The "Document Variables" section displays the client’s name, registered office location, and jurisdiction. On the right, the document preview shows placeholders like "{Client->Name}" and "{Formatted Address}" filled with actual company data.
Designed for client access

Your firm remains the system of record, but clients can securely view their own documents, filings, and ownership data in a branded interface. Walter gives them a virtual minute book they can access anytime—no need to request files or wait on email.

It lists eight numbered folders such as "Certificate of Incorporation", "Bylaws", "Board Resolutions and Minutes", and "Shareholder Resolutions and Minutes". Each entry shows the modified date (June 13, 2025) and the creator ("Sophie Oliver").
Built for scale, ready for the future

Walter doesn’t just simplify entity management. It sets your firm up for sustainable growth and new service models.

  • Global Search allows you to quickly search for clients, profiles, stakeholders, and registrations

  • Custom fields and pinned notes add the context your team needs

  • Bulk edits let you update responsible lawyer or addresses across clients

  • Task management helps you stay on top of renewals, filings, and client to-dos
SOC 2 Type II and ISO 27001 certification ensure security and compliance from day one

The search results are grouped by category: under "Client", "Venus Innovations Vancouver Office" is selected and "Astera Ventures" is also listed. Under "Registration", four entries for Venus Innovations with different registration types are shown. On the right, the selected client’s details are displayed, including phone number, responsible office, and address, with a "Show details" button.

All of this is delivered in a product that feels fast, modern, and actually enjoyable to use.

Why we built this

At Walter, we don’t think of entity management as a standalone category. It’s infrastructure. It supports how your firm builds client relationships, manages risk, and delivers repeatable, high-quality service.

This system was designed to eliminate rework, reduce administrative load, and make your firm easier to do business with. It’s not just about managing records. It’s about building a foundation for how your firm works and grows.
